E-contracts: automatic BCE verification and signature
New contracts module in Company Belgium: templates, TipTap editor, PDF rendering, BCE verification of signers and automatic multilingual reminders.
In brief
Company Belgium's Contracts module lets you draft, sign and archive electronic contracts with automatic BCE data verification of the signer before sending. The TipTap editor, multilingual templates, automatic reminders at D+3 and D+7, and PDF generation are included. An eIDAS qualified signature is planned for regulated sectors.
The contract, the great missing artifact
The contract is the artifact missing from almost every CRM and billing tool. Drafted in Word, exported to PDF, sent via email, chased manually, archived on a NAS. Every step is a chance to lose a version or a signer.
We decided to treat contracts as a first-class product object, with an edge few tools offer: automatic BCE/KBO verification of the signer before signing.
Living templates
A contract almost always starts from a template: NDA, mandate, custom T&Cs, partnership agreement. In Company Belgium, templates are first-class objects — reusable, versioned, multilingual (FR/NL/EN).
Variables auto-inject from the client's BCE data: exact legal name, company number, registered office address, legal form, legal representative where available. The TipTap editor
We picked TipTap as our WYSIWYG editor. Clean HTML, rich extensions (tables, nested lists, code, blockquotes), fast even on a 30-page contract. History saved on every edit.
BCE verification before signing
This is the differentiating brick. Before a contract is sent for signature, the engine queries the BCE API in real time to verify:
- That the company is still active (status
AC).
- That the registered office address hasn't changed.
- That no recent insolvency procedure is recorded.
- That the named legal representative exists in public registers.
If a signal is off, the user receives a warning and can postpone or cancel. For sensitive sectors (real estate, financial services, AML), this is meaningful protection — the specific legal obligations are detailed in our guide on automated KYC verification via API.
Signature and reminders
The signer gets an email in their language (FR/NL/EN) with a unique link. As long as they haven't signed, automatic reminders go out at D+3 and D+7 — configurable per template. Once signed, the PDF is sent back and archived.
A dedicated endpoint also lets you manually resend a signed PDF to a client who may have lost it.
Permissions and roles
- Reader — can view, can't edit.
- Editor — can edit and save.
- Approver — can mark "ready to send".
- Sender — can trigger sending.

For regulated sectors (real estate, financial services, public procurement) that require a qualified eIDAS signature, the module will soon integrate signature via itsme for Belgian signers and qualified certificates for other EU countries.
How do the automatic reminders for contract signature work ?
Once a contract is sent, a timer starts. If the signer has not acted by D+3, a first automatic reminder is sent in their language (FR/NL/EN). A second reminder goes out at D+7. These delays are configurable per template. Once signed, the final PDF is sent to the sender and the signer, and archived on the contract record in your Company Belgium workspace.
